Position Summary:
This position provides a wide range of administrative support to the Advancement Department including general office support, data entry, gift recording and acknowledgement functions within the department and college. As a secondary Raiser's Edge (RE) user, this position is responsible for assisting in the execution of all aspects of the database management process, including gift entering, recording and categorizing, and data entry.ESSENTIAL FUNCTIONS (RESPONSIBILITIES) OF THE POSITION:
- Provide office support including answering the main advancement phone, greeting visitors, handling mail pick-up and delivery, and any general assignments within the advancement office
- Provide clerical support to the advancement, alumni relations and communications functions, to include ordering office supplies & stationery, office coordination, booking travel, and administrative support for members of the advancement and communications teams
- Assist with departmental financial functions such as billing, receipt tracking, budgeting, and credit card reconciliation
- Contribute to the overall success of the advancement program by working on special projects and performing other duties and responsibilities as assigned including set up, tear down, and other ways of supporting special events during and occasionally outside of standard work hours
- Gift Processing
- Record and process gifts and pledge payments to the College, including all assets
- Prepare, secure and deliver cashier deposits to the finance office
- Advancement Data Services and Support
- Provide data entry support in the Raiser’s Edge database, to include updating contact information, entering contact reports, and working in support of the Advancement Services Manager
- Enter and arrange for delivery of acknowledgement letters, receipts and other mailings in a timely manner
- Maintain a hard-copy central filing system as well as electronic filing system
- Assist with the data entry for departmental mailings and standard advancement correspondence, including gift receipts and general gift processing mail pieces
- Prepare documentation on department processes and procedures
- Complete other tasks as assigned in support of Prospect Research, Communications, Development, Corporate and Foundation Relations/Grants and Alumni Relations, including but not limited to donor correspondence, research support, stewardship efforts, and board, staff, faculty and volunteer committee related tasks.
QUALIFICATIONS:
- High School diploma required; some college or post-secondary education preferred
- Ability to perform math and spreadsheet functions, ability to read and understand orders, billing, purchase orders, online ordering system, inventory control and budgeting
- Ability to use computers including Google and Microsoft applications for word processing, spreadsheets, email and calendars
- Proficiency with video conferencing tools such as Google Meet and Zoom
- Proficiency with gift and data entry processes for the Raiser’s Edge database, or other similar database systems desired
- Well-organized, attentive to detail, with an ability to work in an environment of scheduled deliverables where requirements can change
- Ability to work well under pressure and to prioritize and complete tasks independently with little direct supervision
- Organizational, analytical and problem-solving skills, with ability to think creatively and strategically
REQUIRED SKILLS/PHYSICAL ABILITIES:
- Required to lift items up to 30 pounds on occasion
- Excellent customer service skills
- Ability to handle data in a confidential and secure manner, respecting the confidentiality of that data in all communications with internal and external constituencies
- Physical ability to perform daily office activities, to include sitting long periods at a desk, light duty lifting, written and oral correspondence
- Ability to utilize standard office equipment such as phone and computer and other devices used in support of work accomplishment
- Physical ability to participate in special event execution, which may include set up, clean up, transportation and more
ENVIRONMENTAL CONSIDERATIONS:
- Normal Office Environment, institutionally heated and cooled
- Occasional requirement to move around historic campus, indoors and outdoors, over paved and rougher terrain experiencing local temperature and weather variations
