Position Summary:

The Assistant Registrar is responsible for the day-to-day operations of the Office of the Registrar for a small, residential, undergraduate student body. Reporting to the Director of Institutional Research and Records (Director), the Assistant Registrar supports the implementation of the academic curriculum and student records, including course scheduling and catalog updates, degree audits and transfer credit evaluation, transcripts, student resources (including website) and forms, and assisting with data tracking and periodic reports. The Assistant Registrar works closely with the Associate Dean, Assistant Director of Operations, Academic Affairs Administrative Team (AAAT), and related student service offices such as Financial Aid and Student Billing. As a residential, liberal arts campus committed to holistic advising, the Assistant Registrar is expected to contribute to a positive institutional climate and a student-centered focus on success, retention, and persistence.

Antioch College is located in the village of Yellow Springs, Ohio – a vibrant progressive community nestled between two nature preserves. Yellow Springs is located 55 miles from the fast-growing city of Columbus, Ohio, and 30 miles from the Dayton metro area.

DUTIES AND RESPONSIBILITIES: 

  • Staff the day-to-day operations of the Office of the Registrar.
  • Field student questions, manage student forms, and update forms and resources, including the Registrar webpage.
  • Implement the schedule of courses each term, including classroom assignments.
  • Oversee registration process, including holds, SOCHE cross-registration, and auditors.
  • Oversee timely reporting of grades and narrative evaluations to students and faculty advisors.
  • Field transcript requests, ensuring compliance with internal policy and external law.
  • Field transfer credit evaluations, in partnership with Admissions.
  • Enter data in the Student Information System (SIS) according to data integrity policies and protocols.
  • Coordinate graduation applications, verifications, and Commencement information.
  • With Admissions, manage the enrollment and re-enrollment process.
  • With Associate Dean and Director, update the academic calendar and catalog.
  • Assist the Director in implementing policies and procedures to ensure compliance with federal, state, accreditation, and educational laws and regulations, including Family Educational Rights and Privacy Act (FERPA).
  • Serve as OAA liaison to Financial Aid, Admissions, and Student Billing.
  • Provide SIS data to APRC and First Care, as requested.
  • Serve on College committees Academic Policy and Review Committee (APRC), and Academic Affairs Administration Team (AAAT) among others.
  • Supervise and mentor student workers who contribute to the efforts in this area of the College, including but not limited to providing guidance, tracking hours and approving timesheets. Student engagement in our work program is integral to their educational experience. Supervisors serve as primary educational role models who provide learning opportunities for students to build workplace skills that are developmentally appropriate and transferable to professional realms beyond the College.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Proficiency with Google suites essential, as is the ability to learn and adapt to digital office tools and environments
  • Minimum of one year experience working in an institution of higher education preferably with a liberal arts orientation 
  • Knowledge of principles and practices of registration, reporting and records management, or enthusiasm for learning
  • Familiarity with policies and procedures to ensure compliance with federal, state, accreditation, and educational laws and regulations
  • Strong sense of service orientation, relationship skills, communication skills (written and oral), analytical skills
  • Ability to work with and interpret enrollment and registrarial data
  • Ability to work with student information systems and data management systems
  • Experience as an effective team leader

PREFERRED QUALIFICATIONS:  

  • Master’s degree in higher education or related field preferred

PHYSICAL AND ENVIRONMENTAL CONSIDERATIONS: 

  • Indoor office environment; heated and cooled institutionally
  • Movement around campus and during travel during weather extremes
