POSITION TITLE: Office Manager and Campus Visit Coordinator

DEPARTMENT: Admission and Financial Aid

REPORTS TO: Dean of Admission

FLSA STATUS: Hourly, Non-Exempt

WORK SCHEDULE: Full-Time, 40 hours per week. Occasional evening and weekend hours required to support admission events.

POSITION SUMMARY:

The Office Manager and Campus Visit Coordinator is central to creating powerful, personalized first impressions of Antioch College. This role ensures the smooth daily operations of the Admission Office while designing and managing transformative campus visit experiences for prospective students, families, and counselors. The successful candidate will be a detail-oriented organizer, a warm ambassador, and a collaborative team member who believes deeply in the College’s mission of linking education to experience, diversity, and social engagement.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

Campus Visit Coordination & Experience:

  • Develop, manage, and execute a yearly calendar of personalized campus visit programs, including daily visits, open houses, and special event days.
  • Schedule and coordinate all logistics for visits, including appointments with faculty, staff, and student ambassadors; classroom visits; tours; and transportation.
  • Craft and manage all pre- and post-visit communications to ensure a seamless, welcoming, and informative experience for guests.
  • Hire, train, schedule, and supervise student ambassadors and tour guides, fostering a team that passionately represents Antioch.

Office Management & Administrative Support:

  • Provide comprehensive administrative support to the admission team, including calendar management, meeting coordination, and general office operations.
  • Manage the reception area, multi-line phone system, and general inbox, serving as a knowledgeable and welcoming first point of contact.
  • Track, process, and distribute all office mail and shipments.
  • Monitor and maintain inventory of office supplies and admission collateral, submitting timely reorder requests.
  • Assist the Dean with budget and expense tracking.

Communication & Data Integrity:

  • Apply, interpret, and clearly communicate the College’s policies and procedures to prospective students, parents, and visitors via phone, email, and in person.
  • Demonstrate cultural competency and communicate effectively with individuals from diverse backgrounds.
  • Accurately enter prospective student data and interactions into the Slate CRM system, upholding the highest standards of data integrity.
  • Perform data import/export tasks and generate correspondence through mail-merge and reporting tools (MS Office, Slate).

ADDITIONAL RESPONSIBILITIES:

  • Participate in admission events and projects as assigned.
  • Other duties as assigned in support of student enrollment and office operations.

REQUIRED QUALIFICATIONS:

  • High school diploma and a minimum of three years of relevant experience in office administration, customer service, or event coordination.
  • Exceptional organizational skills and meticulous attention to detail with a process-oriented mindset.
  • Outstanding written and verbal communication skills, with the ability to interact warmly and professionally with diverse constituencies.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and or Google Workspace (Docs, Sheets, Gmail).
  • Proven ability to manage multiple projects, solve problems independently, and adapt in a dynamic environment.
  • A collaborative spirit and a commitment to providing exceptional service.
  • A demonstrated commitment to the values of diversity, equity, and inclusion.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree.
  • Experience working in a higher education setting.
  • Prior experience with a Customer Relationship Management (CRM) system, preferably Slate.
  • A genuine understanding of and affinity for the unique mission and educational philosophy of Antioch College.
